1. Overview & promises
This Privacy Policy explains how VoiceChill, Inc. ("VoiceChill", "we", "us") handles personal information in connection with the VoiceChill apps and website (the "Service"). Three promises shape everything below:
- We don't sell your personal data. Full stop.
- We don't train AI models on your voice without your explicit, granular consent.
- We collect the minimum we need to make the Service safe, useful, and worth paying for.
2. What we collect
Information you give us
- Account info: display name, username, email, password (hashed), phone number (if you choose SMS sign-in), profile photo, bio, language preference.
- Content: voice during live rooms, text chat, reactions, room titles and descriptions, recordings you choose to save or publish.
- Communications: messages you send us through support, surveys, or appeals.
- Payment info: handled by Apple, Google, or our payment processor — we receive a record of the purchase, not your card number.
Information collected automatically
- Device & technical: device model, OS version, app version, language, time zone, network type, crash logs, IP address.
- Usage: rooms you visit, features you use, actions you take, performance metrics. We aggregate this where we can.
- Approximate location: derived from your IP for safety, fraud-prevention, and regional content (we don't collect precise GPS unless you grant permission for a specific feature that needs it).
Information from third parties
- Sign-in providers (Apple, Google) share a token plus your basic profile when you choose to sign in with them.
- Referrals & invites include the contact details that the referring user voluntarily shared.
- Fraud & safety partners may share signals to help us block abuse.
3. How we use information
- To operate, secure, and maintain the Service.
- To create and manage your account.
- To deliver live audio, host rooms, and route messages.
- To enforce our acceptable-use rules and respond to reports.
- To prevent fraud, spam, and abuse.
- To send you transactional messages (e.g., login codes, security alerts, important changes).
- To improve and personalize the Service, including ranking room recommendations.
- To send marketing communications — only with your consent where required, and you can opt out anytime.
- To comply with legal obligations and to defend our legal interests.
4. Legal bases (EEA, UK, Switzerland)
If you are in the EEA, UK, or Switzerland, we process personal data on these legal bases:
- Performance of a contract — to deliver the Service you signed up for.
- Legitimate interests — keeping the Service secure, preventing abuse, improving features. We balance these against your rights.
- Consent — for optional features such as marketing emails, voice-based AI features, or precise location.
- Legal obligation — to comply with applicable law.
5. When we share information
We share personal information only as described below, never in exchange for money or advertising data:
- With other users: your public profile, room presence, and content you choose to share. Hosts can see who's in their room.
- With service providers who help us operate the Service — cloud hosting, audio infrastructure, analytics, customer support, payment processing — under contracts requiring confidentiality and security.
- For safety: with trust-and-safety partners and, where legally required, law enforcement responding to valid process.
- Business transfers: if VoiceChill is involved in a merger, acquisition, or sale of assets, information may be transferred subject to standard protections; we'll notify you of any material change.
- With your consent for anything else.
6. Voice, recordings & AI
Voice is the heart of the Service, so we treat it with extra care:
- Live audio is streamed in real time. We do not silently record live rooms.
- Recording a room requires the host to explicitly enable it, and all participants are clearly notified before recording begins.
- AI features (e.g., live transcription, voice clarity, content moderation) run on de-identified streams where feasible and are described at the point you enable them.
- We will never use your voice to train AI models without your separate, explicit opt-in consent, which you can withdraw at any time.
7. Cookies & analytics
Our website uses a small set of strictly necessary and analytics cookies. We use privacy-respecting analytics (aggregated, no cross-site tracking) to understand how the site is used. Where required, we ask for your consent before setting non-essential cookies. You can manage preferences via your browser at any time.
8. Data retention
- Account info: kept while your account is active and for a limited period after deletion to handle legal claims and prevent abuse.
- Live audio: not retained unless explicitly recorded.
- Saved recordings & chat: kept until you delete them.
- Safety-related records (reports, moderation actions) may be retained longer to protect users and comply with law.
- Backups rotate on a regular schedule; deleted data persists in backups for a limited window before being overwritten.
9. Security
We use encryption in transit (TLS) and at rest, strict access controls, regular penetration testing, and audited cloud infrastructure. No system is perfect — if we ever discover a breach affecting your personal information, we'll notify you and the relevant authorities as required by law.
10. Your rights & choices
Depending on where you live, you may have rights to:
- Access the personal data we hold about you.
- Correct inaccurate information.
- Delete your account and associated data.
- Export your data in a portable format.
- Restrict or object to certain processing.
- Withdraw consent at any time, where consent is the basis for processing.
- Lodge a complaint with your local data-protection authority.
You can exercise most of these from in-app settings. For anything else, email privacy@voicechill.app. We will respond within the timeframes required by applicable law (typically 30 days).
11. Children's privacy
VoiceChill is not directed to children under the age limits set out in our Terms. We don't knowingly collect personal information from children below the applicable age. If you believe a child has provided us personal information, contact privacy@voicechill.app and we'll delete it.
12. International transfers
VoiceChill operates globally, which means we may transfer personal data to countries other than the one in which you live. When we do, we use lawful transfer mechanisms — such as Standard Contractual Clauses, the EU–US Data Privacy Framework, or the UK Extension — and apply appropriate technical and organizational safeguards.
13. Changes to this policy
We may update this policy from time to time. If we make material changes, we'll notify you in-app, by email, or via a banner on this page at least 14 days before they take effect. The "Last updated" date at the top will always reflect the current version.
